How we handle your data.

This is the privacy policy for the deskzap.co.uk marketing website, the help documentation at support.deskzap.co.uk, and any data Hot Rocket Software Ltd processes in connection with your visit to either site. It does not cover the DeskZap product itself, which is governed by the end-user licence agreement accepted when you install the software.

Who we are

DeskZap is a remote desktop application built by Hot Rocket Software Ltd, a UK-registered software company. The deskzap.co.uk marketing website and the help documentation at support.deskzap.co.uk are operated by Hot Rocket Software Ltd. The product itself (the DeskZap Connect and Host apps) is governed by a separate end-user licence agreement that you accept when you install the software.

For the purposes of UK data protection law, the data controller for the deskzap.co.uk website is Hot Rocket Software Ltd. You can reach our data contact at hello@deskzap.co.uk.

What data we collect on this website

The deskzap.co.uk marketing website collects three categories of data. First, server logs: every request to the site is logged with the IP address, user agent, referrer and timestamp. These logs are retained for 30 days for security and abuse detection, then deleted. Second, if you choose to fill in the lead capture form on the site, we collect the name, work email, company name and any free-text message you provide. Third, if you have consented, we use Google Analytics 4 to collect anonymised usage data: pages viewed, time on site, referrer source, device type and approximate country. Google Analytics 4 is the only third-party analytics service we use.

We do not use advertising cookies, third-party tracking pixels, or session-recording services on this site. We do not sell personal data to anyone.

How we use the data

Server logs are used for security (detecting abusive requests, debugging production issues, and responding to incidents). Lead capture form submissions are used to respond to your enquiry and to send occasional product updates if you have asked to receive them. You can unsubscribe at any time by replying to any email we send. Google Analytics 4 data is used to understand which pages are useful to visitors and to prioritise content improvements. We do not use analytics data to make decisions about individual users.

We do not use your data for automated decision-making, profiling, or any form of automated marketing. Every email we send is sent by a human or by a simple rule-based system that a human reviews.

Lawful basis for processing

Under UK GDPR, we process the categories above on the following bases. Server logs: legitimate interest in keeping the site secure and operational. Lead capture form: your consent (you submit the form, which is a clear affirmative act). Google Analytics 4: your consent (the analytics scripts do not load until you accept the cookie banner). You can withdraw consent at any time by emailing hello@deskzap.co.uk or by clearing cookies in your browser.

Who we share data with

We share data with three categories of third party, all bound by data processing agreements. First, our hosting provider (Hostinger, with servers in a UK data centre) hosts the website and the server logs. Second, Google LLC processes Google Analytics 4 data on our behalf. Third, if you submit a lead form, we use a transactional email provider to send the response email. None of these providers are permitted to use your data for their own purposes.

We do not share data with advertising networks, data brokers, social media platforms for retargeting, or any other commercial third party. We do not sell, rent or trade personal data.

How long we keep data

Server logs: 30 days. Lead capture form submissions: until you ask us to delete them, or 24 months after your last interaction, whichever comes first. Google Analytics 4 data: 14 months (the default GA4 retention setting). You can ask us to delete any of your data at any time by emailing hello@deskzap.co.uk, and we will action the request within one calendar month as required by UK GDPR.

Your rights

Under UK GDPR you have the right to: access the personal data we hold about you; have incorrect data corrected; have data deleted (the right to be forgotten); restrict or object to processing of your data; request a portable copy of your data; and withdraw consent at any time. To exercise any of these rights, email hello@deskzap.co.uk with your request. We will respond within one calendar month.

If you are unhappy with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies

This site uses a minimal set of cookies. Strictly necessary cookies are set by the site itself for session and security purposes. Google Analytics 4 sets cookies only if you accept the cookie banner. We do not use any third-party advertising or retargeting cookies. You can clear cookies at any time in your browser settings; this will not affect your ability to use the site.

Changes to this policy

We will update this policy when our practices change. The 'last updated' date at the bottom of the page reflects the current version. Material changes (anything that broadens the categories of data we collect, or changes who we share it with) will be announced on the site homepage for at least 30 days before they take effect.
